Service Delivery Policy

1. Introduction

This Service Delivery Policy ("Policy") describes the processes, timelines, standards, and methods through which Vedika Film Creation ("Company", "we", "us", or "our") delivers its video production, advertisement, digital marketing, and creative services to its Clients ("Client", "User", or "you"). This Policy is intended to set clear expectations regarding project workflow, delivery formats, quality assurance, and communication protocols. By engaging our services, you acknowledge and agree to the delivery terms outlined herein.

2. Service Delivery Workflow

Each project at Vedika Film Creation follows a structured, milestone-based delivery workflow to ensure quality, transparency, and Client satisfaction:

Phase 1: Inquiry & Consultation

The Client submits a project inquiry through our website, email, phone, or WhatsApp. Our creative team conducts an initial consultation to understand the project requirements, objectives, target audience, and desired outcomes. This phase is completed within 1–2 business days of receiving the inquiry.

Phase 2: Proposal & Quotation

Based on the consultation, we prepare a detailed project proposal outlining the scope of work, deliverables, production timeline, revision limits, and total cost. The proposal is shared with the Client within 2–3 business days of the consultation. The Client is expected to review and confirm acceptance in writing.

Phase 3: Pre-Production

Upon receiving the advance payment and written confirmation, the pre-production phase begins. This includes scripting, storyboarding, concept development, location scouting, talent casting (if applicable), equipment preparation, and scheduling. Pre-production is typically completed within 3–5 business days depending on project complexity.

Phase 4: Production (Shooting/Creation)

The production phase involves the actual shooting, filming, drone videography, animation creation, or motion graphics development as specified in the project scope. Production timelines vary by project type and are communicated in the project proposal. Typical production takes 2–7 business days.

Phase 5: Post-Production & Editing

Post-production includes professional video editing, colour grading, sound design, background music integration, voiceover synchronisation, motion graphics insertion, and visual effects. A first draft/rough cut is shared with the Client for review. Post-production typically requires 5–10 business days.

Phase 6: Client Review & Revisions

The Client reviews the draft and provides feedback. Revisions are made as per the agreed revision limits specified in the project proposal. Each revision round is typically completed within 2–3 business days. The Client must submit revision requests in writing within 7 business days of receiving the draft.

Phase 7: Final Delivery

Upon Client approval of the final version, the completed deliverables are rendered in the agreed formats and delivered digitally. Final balance payment (if applicable) must be settled before or at the time of final delivery.

The following are estimated end-to-end delivery timelines for our primary service categories. Actual timelines may vary based on project complexity, scope, and Client responsiveness:

Note: Timelines commence from the date of advance payment receipt and written confirmation. Rush delivery and express production options are available at additional cost upon request.

4. Digital Delivery Methods

All deliverables from Vedika Film Creation are provided through digital delivery channels. We do not provide physical media (DVD, USB, Blu-ray) unless explicitly requested and agreed upon with applicable additional charges. Digital delivery methods include:

  • Cloud Storage Links: Secure, time-limited download links via Google Drive, Dropbox, or WeTransfer.
  • Email Delivery: For smaller files or compressed previews, delivery via email attachment.
  • Direct Upload: Where agreed upon, direct upload to the Client's specified platform, YouTube channel, social media account, or cloud storage.

Download links are typically active for 30 days from the date of delivery. Clients are advised to download and securely store all files within this period. Vedika Film Creation is not obligated to retain project files beyond this period, though we may do so at our discretion.

5. Delivery Formats & Specifications

Unless otherwise specified in the project proposal, final deliverables shall be provided in the following standard formats:

  • Video Formats: MP4 (H.264 codec) — universally compatible with all platforms and devices.
  • Resolution: Full HD (1920×1080) as standard; 4K (3840×2160) for premium and cinematic packages.
  • Aspect Ratios: 16:9 (standard), 9:16 (vertical/mobile), 1:1 (square/social media) — as specified in the project brief.
  • Audio: Stereo audio, AAC codec, 48kHz sample rate.
  • Graphics/Animation: MP4, GIF, or MOV formats depending on the project requirements.

Custom format requests (ProRes, MOV, AVI, etc.) can be accommodated upon request and may be subject to additional charges.

6. Quality Assurance

Every project undergoes a rigorous internal quality assurance (QA) review before delivery to the Client. Our QA process includes: (a) technical review of video resolution, audio quality, and file integrity; (b) creative review of visual aesthetics, brand consistency, colour grading, and motion graphics accuracy; (c) compliance check against the project brief and Client-specified requirements; and (d) final rendering optimisation for the intended viewing platforms. If the Client identifies any technical defect or quality issue in the delivered file that was not present in the approved draft, we shall promptly rectify it at no additional charge.

7. Client Responsibilities for Timely Delivery

Timely delivery is a shared responsibility. The Client must fulfil the following obligations to ensure the project stays on schedule:

  • Provide all required raw materials, brand assets, product images, logos, scripts, and approvals within the agreed timelines.
  • Respond to review requests and provide feedback within 7 business days of receiving the draft. Delayed feedback may result in corresponding delays to the final delivery date.
  • Ensure availability for scheduled shoots, consultations, and milestone review meetings.
  • Obtain all necessary location permits, talent releases, and brand usage authorisations required for the project.
  • Make all payments (advance and balance) within the agreed timelines. Delayed payments may result in production pauses and delivery postponements.

Disclaimer: Vedika Film Creation shall not be held responsible for project delays caused by the Client's failure to provide materials, feedback, approvals, or payments in a timely manner. Delivery timelines shall be automatically extended by the number of days of Client-caused delay.

8. Delays & Force Majeure

While Vedika Film Creation endeavours to deliver all projects within the agreed timelines, delays may occasionally occur due to circumstances beyond our reasonable control. Such circumstances include but are not limited to: adverse weather conditions affecting outdoor shoots, equipment malfunction, natural disasters, pandemics, government-imposed restrictions, internet or power outages, third-party vendor delays, and other force majeure events. In the event of such delays, we shall promptly notify the Client, provide a revised estimated delivery date, and make every reasonable effort to minimise the impact on the project timeline.

9. Post-Delivery Support

Vedika Film Creation provides post-delivery support for a period of 15 days from the date of final delivery. During this period, the Client may report any technical issues (such as file corruption, encoding errors, or audio sync problems) and we shall rectify them at no additional cost. Post-delivery support does not include creative revisions, scope changes, or new edit requests — these shall be treated as new project requirements and quoted accordingly.

10. Project Archival

Vedika Film Creation retains completed project files for a minimum period of 90 days from the date of final delivery. After this period, project files may be permanently deleted from our servers and storage systems. If the Client requires access to project files after the 90-day retention period, a file recovery fee may apply, subject to availability. We strongly recommend that Clients download and securely back up all delivered files within the 30-day download window.

Throughout the project lifecycle, the Client may communicate with Vedika Film Creation through the following official channels:

All critical project decisions, approvals, and feedback should be communicated via email for documentation and record-keeping purposes. Vedika Film Creation shall provide regular project status updates at key milestones throughout the production process.

12. Governing Law & Jurisdiction

This Service Delivery Policy shall be governed by and construed in accordance with the laws of the Republic of India. Any disputes arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts located in Kolhapur, Maharashtra, India.
