Refund & Cancellation Policy

1. Introduction

This Refund and Cancellation Policy ("Policy") outlines the terms and conditions under which refunds and cancellations are processed by Vedika Film Creation ("Company", "we", "us", or "our") for all video production, advertisement, digital marketing, and related creative services. By engaging our services and/or making a payment through our website, you ("Client", "User", or "you") acknowledge that you have read, understood, and agree to be bound by this Policy. This Policy should be read in conjunction with our Terms & Conditions, Privacy Policy, and Service Delivery Policy.

2. Nature of Services

Vedika Film Creation provides custom, bespoke creative services including video production, advertisement creation, motion graphics, drone videography, event coverage, and digital marketing content production. Each project is uniquely conceptualised, scripted, shot, and edited according to the Client's specific requirements and preferences. Due to the inherently custom and labour-intensive nature of our services, standard refund policies applicable to off-the-shelf products do not apply. All refund and cancellation requests are assessed on a case-by-case basis in accordance with this Policy.

3. Cancellation Before Work Commencement

If you wish to cancel a project before production work has commenced, the following terms apply:

Full Refund Eligibility: If the Client submits a cancellation request within 24 hours of making the advance payment and before any production work (including pre-production planning, scripting, storyboarding, or resource allocation) has commenced, the Client shall be eligible for a full refund of the advance amount paid.

Partial Refund: If the cancellation request is received after 24 hours but before production has physically commenced (e.g., shooting, editing), the Client may be eligible for a partial refund of up to 75% of the advance amount paid. A deduction of up to 25% shall be retained to cover pre-production planning, creative consultation, script development, and administrative costs already incurred.

4. Cancellation After Work Has Started

Once production work has commenced (including but not limited to shooting, filming, editing, motion graphics creation, drone operation, or post-production), the following terms apply:

No Refund on Commenced Work: No refund shall be issued for any portion of the project for which production work has already been commenced or completed. This includes costs associated with crew deployment, equipment rental, location scouting, travel expenses, shooting days, editing hours, and third-party vendor engagements.

Partial Delivery Option: If the Client cancels mid-project, the Client shall receive all work completed up to the date of cancellation in its current state (draft or partially completed form). The Client shall be liable for payment of all work completed through the cancellation date.

Outstanding Balance: If the work completed exceeds the advance payment already received, the Client shall be obligated to pay the outstanding balance within seven (7) business days of the cancellation notice.

5. Non-Refundable Services & Digital Products

The following services and digital products are strictly non-refundable under any circumstances:

  • Completed & Delivered Projects: Once the final video, animation, or creative deliverable has been rendered, delivered, and/or downloaded by the Client, no refund shall be issued.
  • Approved Final Drafts: If the Client has provided written approval on the final draft or the final version of the deliverable, the project shall be considered accepted and completed, and no refund shall be processed.
  • Digital Content & Downloads: All digital content, video files, motion graphics, and creative assets delivered electronically are non-refundable once downloaded, streamed, or accessed by the Client.
  • Custom Creative Work: Creative services including scripting, storyboarding, concept development, motion graphics design, colour grading, and audio mixing are considered consumed upon delivery and are non-refundable.
  • Third-Party Costs: Any expenses incurred for third-party services including stock footage licences, royalty-free music licences, voice-over artist fees, drone operator fees, location permits, and equipment rentals are non-refundable.
  • Rush Delivery / Express Production Charges: Additional charges for expedited production timelines or priority delivery are non-refundable regardless of project outcome.

6. Refund for Duplicate or Erroneous Payments

In the event of a duplicate payment, overpayment, or technical payment processing error:

  • The Client must notify Vedika Film Creation within 48 hours of the transaction by emailing invedika4u@gmail.com with the subject line "Duplicate/Erroneous Payment — [Transaction ID]".
  • The Client must provide supporting documentation including the transaction ID, payment receipt or screenshot, date and time of transaction, and amount paid.
  • Upon verification and confirmation of the duplicate or erroneous payment by our finance team, the excess amount shall be refunded to the Client's original payment method within 7–10 business days.
  • Refunds for duplicate payments processed through the Cashfree Payment Gateway shall be subject to the gateway's processing timelines and policies. Vedika Film Creation shall initiate the refund promptly but shall not be responsible for any delays caused by the payment gateway, banking institution, or intermediary financial service providers.

7. Refund Processing Timeline

Once a refund has been approved by Vedika Film Creation, the following processing timelines shall apply:

Note: The above timelines are indicative and may vary depending on the Client's bank, payment gateway processing times, and intermediary financial institutions. Vedika Film Creation shall not be held responsible for delays beyond our control.

8. How to Request a Refund or Cancellation

To submit a refund or cancellation request, please follow these steps:

  1. Send an email to invedika4u@gmail.com with the subject line: "Refund/Cancellation Request — [Your Name] — [Project Reference/Order ID]".
  2. Include the following details in your email: Full Name, Registered Email Address, Phone Number, Transaction ID, Payment Amount, Date of Payment, and Reason for Refund/Cancellation.
  3. Attach supporting documents such as payment receipts, bank statements, or transaction screenshots if applicable.
  4. Our customer support team shall acknowledge receipt of your request within 24 hours (excluding weekends and public holidays).
  5. The refund/cancellation request shall be reviewed by our finance and project management team, and a decision shall be communicated to the Client within 3–5 business days of receiving the complete request with all required documentation.

9. Grounds for Refund Rejection

Vedika Film Creation reserves the right to reject a refund request under the following circumstances:

  • The Client has approved the final deliverable and the project has been marked as completed.
  • The refund request is submitted after the project deliverables have been delivered, downloaded, or accessed by the Client.
  • The Client's dissatisfaction is based on subjective preferences that were not specified in the original project brief or proposal.
  • The Client failed to provide timely feedback, approvals, or required materials, causing project delays, and subsequently requests a refund citing delay as the reason.
  • The refund request is fraudulent, misleading, or made in bad faith.
  • The services were partially consumed, and the consumed portion meets the agreed-upon standards and specifications.

10. Company-Initiated Cancellation

Vedika Film Creation reserves the right to cancel a project at any stage under exceptional circumstances, including but not limited to: force majeure events, natural disasters, government-imposed restrictions, severe health emergencies, or situations where continued service delivery becomes legally or ethically unfeasible. In such cases, the Client shall receive a prorated refund based on the percentage of work not yet commenced or completed. Vedika Film Creation shall not be liable for any consequential damages, lost profits, or indirect losses arising from a company-initiated cancellation.

11. Chargebacks & Payment Disputes

Clients are strongly encouraged to contact Vedika Film Creation directly before initiating a chargeback or payment dispute with their bank or credit card company. Filing a chargeback without first contacting our customer support team may be considered a breach of these terms. Vedika Film Creation reserves the right to contest any unjustified chargebacks and may pursue appropriate legal remedies to recover disputed amounts, including reporting fraudulent chargeback claims to the relevant authorities.

12. Governing Law & Dispute Resolution

This Refund and Cancellation Policy shall be governed by and construed in accordance with the laws of the Republic of India. Any disputes arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts located in Kolhapur, Maharashtra, India. Both parties agree to first attempt resolution through good-faith negotiation before pursuing formal legal proceedings.
